Job Title: PA/EA

Full time / Part Time (Flexitime available)

Overview:

Personal Assistant to the new CEO and provide support to the senior management team as required.

The role is primarily based from High Brooms, Tunbridge Wells with flexibility to work hybrid.

This is a full time, permanent position with flexible hours as may include some calls to the USA (usually conducted between 5 & 7pm)

Responsibilities:

Personal Assistant

The post holder will provide effective administrative support to maximise their time as efficiently as possible.

S/he will adopt a professional approach when liaising with members of the team and other stakeholders

As a matter of routine, s/he will be produce minutes of meetings and standard reports.

Key Responsibilities:

  • Excellent verbal and written communication skills
  • Highly organised, able to prioritise and work to deadlines
  • Organise and maximise the Groups time
  • Ensure the smooth running of the Group's diary and email system
  • Coordinate internal and external written communications as and when required
  • Coordinate internal and external meeting requirements
  • Produce and circulate necessary documentation in a timely manner
  • Take accurate minutes of meetings as required and circulate in a timely fashion
  • Plan travel arrangements, book accommodation, restaurants etc.
  • Ensure accuracy and observe deadlines
  • Travel to other offices within the Group as and when required
  • Undertake other reasonable responsibilities and projects as instructed

Skills

  • Ideally have proven experience as an Executive Assistant or in a similar role
  • Ability to organise own workload, influence and negotiate, plan and co-ordinate events
  • Fast and accurate typing skills, and a high level of grammar, spelling and punctuation
  • Able to liaise with a wide range of employees at all levels in order to get things done
  • Flexible 'Can do' attitude and the ability to pre-empt support requirements
  • Good interpersonal skills with the confidence to delegate upwards
  • Excellent organisational skills with the ability to prioritise work
  • Intermediate knowledge in Word, Excel and PowerPoint
  • Ability to work as part of a team and on own initiative
  • Self-motivated, proactive and efficient
  • Analytical and problem solving skills
  • Show discretion at all times
  • Calm under pressure
  • Flexible
  • Discretion and confidentiality are essential
